EuroKids, amongst the leaders in the Preschool segment, has more than 700+ business partners spread across the country. The business partners are classified into models depending on the cultural and economic sector they cater to. The operations at any centre (other than academics) typically include recording enquiries, admissions, fee collection, receipt generation etc.
Each centre also had complex billing modules and rules which needed to be catered to individually. All the operations were being done manually at each centre and the data was sent to EuroKids at the end of each month in the form of spread sheets or email.
Real time tracking of the number of students seeking admission in various centres of EuroKids was not possible and the EuroKids management could not take corrective/preventive action to rectify this situation.
In addition, the Purchase Orders for supply of inventories were being raised through emails by the centres. Some of these emails would get accidentally left out by EuroKids resulting in the inventory not reaching the centres in time, thus resulting into difficulties to the students.
With the number of centres increasing year after year, it was a challenge for the EuroKids Management to keep the operations streamlined and hence wished to use IT productively to overcome these challenges.
The team at Celusion Technologies, after analysing the challenges, came up with a centralised web-based application which addressed all the challenges faced by EuroKids Management. The web-based application could be accessed by each centre using valid credentials. The operations like enquiry, admissions, fee collection etc. were recorded by the centres real time.
The application also addressed the complex billing modules and rules which made it easier for EuroKids to configure the fees by each centre and by each academic session. Fee Collection and Receipt generation was automated so that the parents could receive the receipts in their email inbox.
The issue of inventory tracking was also addressed wherein the orders could be raised through this application resulting in no PO being missed out. Provision was also made to keep a track of the status of each order raised through the application.
The web application resulted in streamlined operations at each centre where all the data could now be recorded and retrieved easily whenever needed, in real time. This also helped ease the business operations/processes between EuroKids and their business partners.
The solution provided by Celusion helped EuroKids Management, have a centralised control over all aspects of operations. The management got a real time view of the operations happening across all the centres. This included number of admissions taken, opportunity lost due to non-conversion of enquiries into admissions etc.
